Why accurate data matters

What you see on the profile
- Snapshot cards show lifetime value, outstanding balances, and next visit at a glance.
- Recent activity lists the latest emails, SMS, and payments, so you know what changed before editing.
- Quick actions let you send a message or jump to invoices without leaving the profile.
Ways to update a customer
From the customer list
- Customers → search or filter for the record you need.
- Click the customer name to open the profile.
- Hit Edit in the header, update any fields, and Save changes.
Quick edit from the list
- Hover the row and open the action menu (⋯).
- Choose Quick edit to adjust phone, email, or tags inline.
- Save—ideal for rapid fixes while you are triaging calls.
While viewing a job or invoice
- Open the job or invoice, then click the customer name in the sidebar.
- The mini profile appears without leaving the page.
- Select Edit details, make updates, and Toolfy applies them globally.
What you can edit
Contact & billing
- Primary email, phone, and postal address (multiple addresses supported).
- Preferred communication channel and notification opt-outs.
- Payment contact details for commercial accounts.
Account data
- Tags for segmentation (VIP, warranty, maintenance plan, etc.).
- Account manager or technician ownership.
- Custom fields you have added in Settings → Customers.
Notes & documents
- Site access notes, codes, or preferences pinned to the top of the profile.
- Files such as compliance certificates or signed agreements.
- Internal-only remarks versus portal-visible notes for the customer.
Merge duplicates
- Open the customer with the most complete information.
- Click Actions → Merge duplicate.
- Search for the duplicate record and review the field-by-field preview.
- Confirm merge. Toolfy keeps jobs, invoices, and payments from both records under the surviving profile.
Best practices
- Log who requested the change in the communication history for future reference.
- If you adjust tax IDs or billing addresses, re-send any open invoices so customers have up-to-date paperwork.
- Keep sensitive notes internal—mark them as admin-only so they do not appear in the customer portal.
- Export updated customer lists quarterly for your accounting package.
