Getting Started with Toolfy
Follow this quick checklist to move from sign-up to your first scheduled job. With a few details ready you can invite the whole team in under five minutes.
Before you begin
Confirm your business details
Have your trading name, address, tax or VAT number, and contact email ready. Toolfy pulls these straight onto quotes and invoices.
Decide who needs access
List the coordinators, technicians, or subcontractors who should receive invites so you can add them without pausing setup.
Collect brand assets
A square logo (400 × 400 px or larger) makes documents and emails look polished from day one.
First five actions
Follow these steps in order—the checklist takes less than five minutes end to end.
Create your account
Visit toolfy.io and choose Start free trial. Use a shared operations email if you want multiple people to see notifications.
Verify your email
Click the verification link we send immediately. Check spam/promotions if it doesn’t arrive within a minute and mark Toolfy as safe.
Complete your business profile
Settings → Business profile. Add contact details, tax numbers, and your logo so paperwork looks professional.
Add your first customer
Customers → Add customer. Start with a real client or your own company so you can test the end-to-end flow.
Book a test job
Jobs → Create job. Schedule a dummy visit for tomorrow to see the calendar, reminders, and mobile experience.
Invite your team
Once you’re comfortable navigating Toolfy, invite the people who keep work moving. Roles determine what they can see and edit.
Office team
Invite coordinators under Team → Add team member. Assign the Manager role so they can schedule jobs, manage customers, and send invoices.
Field technicians
Assign the Technician role to field staff. They'll see only their assigned jobs and can use the mobile app to complete work.
Accountant or bookkeeper
Share financial exports via Reports → Exports so your finance team can keep records aligned without needing full system access.
