Jobs are the heart of Toolfy—they link customer history, technician schedules, and billing. Gather these details once and you can track work end-to-end, from booking through to payment.
Before you open the form
A minute of prep keeps the rest of the process fast. Have these items ready and you can launch a professional job in under 60 seconds.
Customer basics
Name, address, and at least one contact method (email or mobile). Add directions or access codes if they’re tricky to find.
Service details
Know the visit length, required tools, and who on the team should attend. This keeps the schedule accurate from the start.
Follow-up plan
Decide whether this job should trigger a follow-up visit, quote, or invoice so you can note the next steps while you’re already in the form.
Create a job in 30 seconds
Follow these four quick steps to get your first visit on the calendar.
Open the job form
Go to Jobs → Create job or tap the “+” shortcut on the dashboard. Selecting a slot on the schedule pre-fills the date and start time.
Set customer and timing
Pick the customer, add a clear job title, and confirm the date and start time. Toolfy rounds to the nearest 15 minutes so your calendar stays tidy.
Add job details
Assign a team member, adjust the duration, and capture site notes or the service address so the team arrives prepared.
Plan follow-up (optional)
Add a note about the next visit or duplicate the job after it’s completed to keep regular customers in the diary.
Job form fields explained
Every field adds context for the office and the team in the field. Hover over the details when you’re filling it out to keep everyone aligned.
Customer
Identifies who the visit is for. Need someone new? Select “Add customer” without leaving the form.
Job title
A short description everyone recognises, e.g. “Boiler service”.
Date & start time
Scheduled in 15-minute increments. Launching from the Schedule pre-fills the slot you clicked.
Duration
How long the visit should take. This drives the end time on the calendar.
Assign to
Pick who will complete the job. Leave blank if you prefer to assign from the schedule later.
Job notes
Access codes, equipment reminders, parking instructions—anything the team needs on-site.
After you click “Create job”
Toolfy keeps everything in sync so you can move straight onto the next task.
- The job appears in Jobs and on the schedule.
- You can edit, reassign, or reschedule the job at any time.
- Completing the job enables one-click invoice creation.
- Customers receive notifications if reminders are enabled.
- Need the same visit again? Open the job later and duplicate it to a new date.
First job tip
Your very first job is automatically assigned to you. As soon as you invite teammates you can hand work to them—or leave new jobs unassigned so the office can triage later.
