Cancel Your Subscription
Cancel your Toolfy subscription anytime with no penalty. Your account stays active until the end of your current billing period, and you can export all data. We retain your workspace for 30 days in read-only mode; after that, finance archives it and data deletion may begin.
How to cancel
Cancellation schedules for your next renewal date. You keep full access until the end of your paid period.
Navigate to Settings → Subscription
Scroll to the bottom of the page and click "Cancel subscription" (red text).
Tell us why (optional)
A short survey helps us improve Toolfy. Select a reason (too expensive, missing features, switching to competitor, etc.) or skip this step.
Review cancellation date
The confirmation screen shows your last access date (end of current billing period) and reminds you to export data if needed.
Confirm cancellation
Click "Cancel subscription" (red button). You'll receive an email confirmation with your final access date and data export instructions.
What happens after cancellation?
Immediately after canceling
- • Future billing stops—no more charges to your payment method
- • A banner appears in your dashboard showing the final access date
- • You can still use all features normally until the end of your billing period
- • Automated reminders and scheduled messages continue to send
On your final access date
- • Your account becomes read-only—you can view data but not create/edit
- • Customer-facing features stop working (no invoice links, no customer portal access)
- • Automated messages stop sending
- • You have 30 days of read-only access to export data
30 days after cancellation
- • Workspace may be archived by finance; access requires contacting support
- • Data is queued for deletion—once this starts, it’s irreversible
- • Your organization slug becomes available for others to register
- • Team members lose access to the organization
Export your data before canceling
Toolfy provides full data export in CSV and JSON formats. Export before your final access date to avoid losing information.
What you can export
- • Customers: Full contact details, notes, tags, communication history
- • Jobs: Schedules, statuses, technician assignments, completion notes
- • Invoices: Line items, payment records, dates, amounts
- • Quotes: All estimates with approval status and conversion history
- • Files: Bulk download of photos, PDFs, and attachments
How to export
- 1.Go to Settings → Data Export
- 2.Select "Full organization export" (includes all data)
- 3.Choose format: CSV (for spreadsheets) or JSON (for technical migration)
- 4.Toolfy emails you a download link within 10 minutes (large exports may take longer)
- 5.Download and store securely—links expire after 7 days

Reactivate a canceled subscription
Changed your mind? You can reactivate anytime before your data is deleted.
Before final access date
Go to Settings → Subscription and click "Reactivate subscription". Your billing resumes at the next renewal date, and the cancellation is canceled. No data loss, no interruption.
During 30-day read-only period
You can still reactivate from Settings → Subscription. Choose a plan, add a payment method, and full access restores immediately. All data remains intact.
After data deletion (30+ days)
You can create a new Toolfy account with the same email, but all previous data is gone forever. Treat this as starting fresh—import customers and jobs manually or from exported CSV files.
Alternatives to canceling
If you're canceling because of cost or missing features, consider these options:
Downgrade to a lower plan
Keep your data and core features at a lower price. Downgrade to the Solo plan instead of canceling completely. See: Upgrade or Downgrade Your Plan
Pause your account (seasonal businesses)
Contact support@toolfy.io if you're seasonal (e.g., landscaping, pool service) and want to pause during off-months. We can arrange reduced billing while keeping your data intact.
Tell us what's missing
If you're leaving because Toolfy lacks a critical feature, email us. We prioritize features that keep customers, and your feedback directly influences the roadmap.
Common questions
Do I get a refund if I cancel mid-cycle?
It depends. If you cancel within 30 days of your first subscription payment, you qualify for our money-back guarantee and will receive a full refund. After 30 days, you won't receive a refund for the current billing period, but you keep access until the end of the cycle you've already paid for.
What happens to outstanding invoices?
Customer-facing invoice links stop working after your final access date. Export unpaid invoice details and follow up via email or another system. Stripe-hosted payment pages remain accessible for 90 days.
Can I cancel just part of my subscription?
No. Toolfy subscriptions are all-or-nothing. You can downgrade to a lower tier with fewer features instead of canceling completely.
What if I cancel by accident?
Go to Settings → Subscription and click "Reactivate subscription". This works anytime before data deletion (30 days after final access date).
Do team members get notified when I cancel?
Yes. All team members receive an email when the owner cancels, with the final access date and instructions for exporting their own data. They also see the cancellation banner in the dashboard.
