Prep before you leave
- Add Toolfy to your home screen so the mobile app caches jobs locally.
- Open today’s schedule before leaving base—job details, maps, and customer notes are stored for offline use.
- Carry a charged power bank; photos and background sync use battery.
What works offline (limited)
- View today's assigned jobs (if loaded while online).
- View customer contact details and addresses (cached from previous view).
- Take photos—stored locally and uploaded when connection returns.
- Add internal notes to jobs (synced when online).
What requires connectivity
- Completing jobs and collecting signatures (requires server sync).
- Sending SMS to customers (real-time messaging).
- Loading job details not previously viewed (data not cached).
- Creating or editing invoices (requires database access).
- Viewing real-time schedule updates from office.
- Navigation to addresses (Google Maps needs connectivity).
For best results, ensure mobile data or Wi-Fi is available when working with Toolfy. Offline mode is for viewing only.
What happens when you reconnect
- Toolfy detects Wi-Fi or mobile data returning.
- Queued photos begin uploading automatically.
- Refresh the page to load latest job updates from the office.
- Any notes added offline will sync when you save changes online.
Pro tips
- Load today's jobs while you have signal—this caches basic job info for offline viewing.
- Take all photos while on-site—they'll queue and upload when you regain signal.
- Avoid starting complex tasks (creating invoices, completing jobs) without connectivity.
- Refresh the page when you regain connection to see latest updates from the office.
Troubleshooting
Offline banner persists even with signal
Toggle airplane mode on/off or reopen Toolfy. If the banner stays, sign out and back in to rebuild the local cache.
Photos not appearing on web
Open the job on mobile—pending uploads show a spinner. Keep the app open until they finish or re-upload if the item shows `Failed`.
Device storage full
Delete old media from the camera roll once Toolfy confirms upload, or enable automatic cleanup in device settings.
