Create Professional Quotes
Build branded estimates in minutes, reuse templates, and set expectations clearly so customers can approve without back-and-forth.
Before you start
Run through this quick checklist so you can build the quote in one pass.
Know the scope
Outline the services, materials, and labour you plan to deliver. Templates or price book items make this faster.
Gather visuals
Photos, drawings, or spec sheets help customers approve without extra questions.
Agree on terms
Decide on expiry date, deposit, and payment schedule so you can set them while creating the quote.
Create a quote in five steps
- Go to Quotes → New quote.
- Select the customer (or add a new one) and choose the site or job address.
- Add items from your price book or create custom line items with quantities and unit prices.
- Attach photos, notes, or supporting documents. Adjust terms, deposits, or expiry.
- Preview, then click Send quote to email or text it to the customer.
Why it matters
- Send polished quotes in minutes instead of hours.
- Reuse services, pricing, and terms so every estimate stays consistent.
- Add photos, attachments, and personalised notes for extra clarity.
- Set expiry dates and deposits to protect your pricing and cash flow.
Templates supercharge quoting
- Create templates for your most common work (e.g. Boiler install, Kitchen refit).
- Use variables like `{customer_name}` or `{property_address}` to auto-fill personalised details.
- Store standard terms—payment schedule, warranty, cancellation policy—so they’re never missed.
Manage templates via Settings → Quotes → Templates or from the Templates tab on the quotes page.
Enhance your quote
Price adjustments
Add labour, materials, discounts, or taxes on a per-line or whole-quote basis.
Deposits
Request a deposit amount or percentage—Toolfy records it on the invoice later.
Expiry dates
Set how long the quote is valid to encourage quick decisions and protect pricing.
What’s next?
Once your quote looks perfect, send it for approval and convert it into a job as soon as the customer says yes.
