Send in five steps
- Open the quote you’re ready to send.
- Click Send quote.
- Confirm the customer’s email/phone (edit or add secondary recipients).
- Add a short personal message (optional).
- Choose Email, SMS, or both, and click Send now.
Delivery methods
From quote detail page
- Quotes → open the quote → Send quote.
- Email composer pre-fills contact info and attaches the PDF.
- Customise the subject/body, then send.
Quick send from quote list
- Quotes list → ⋯ menu → Send quote.
- Uses your default template for a rapid follow-up.
- Edit the quote later if you need to add a note.
Bulk send multiple quotes
- Tick multiple quotes in the list.
- Bulk actions → Send selected.
- Toolfy sends each quote individually and tracks each customer separately.
Customise quote emails
- Subject line with quote number and business name.
- Personal greeting using customer name.
- Summary of work and total price.
- Expiry date or decision deadline.
- Buttons for View quote and Accept quote.
- Contact details so customers can reply quickly.
- Settings → Reminders → Quote templates.
- Edit the email/SMS copy, add your brand voice, and include standard terms.
- Add placeholders like `{customer_name}` to personalise automatically.
- Send yourself a test quote to confirm formatting.
Follow-up tips
- Preview the quote before sending—correct mistakes before the customer sees them.
- Schedule automatic reminders in Settings → Reminders if customers often forget.
- When resending, include a short note (“Following up on the kitchen refit quote we sent Tuesday”).
