Convert Quotes to Jobs
Customer gave the green light? Convert the quote into a scheduled job—no retyping or copy/paste required.
Why conversion matters
- All quote data (customer, services, pricing, notes) transfers automatically.
- Schedule the work while the customer is ready to commit.
- Quote status switches to Won, keeping reporting accurate.
- Technicians receive alerts immediately, so nothing slips through.
- The job keeps a link back to the original quote for full history.
Convert in minutes
- Open the accepted quote.
- Click Convert to job.
- Pick the schedule date/time and assign a technician (optional).
- Confirm duration or use the default estimate from quote templates.
- Click Create job—the job appears on the schedule.
Conversion methods
From quote detail page
- Quotes → Accepted → open the quote → Convert to job.
- Fill in schedule date, time, duration, and assignee.
- Create job and send booking confirmation to the customer if needed.
From customer portal
- Customer accepts the quote online.
- Toolfy notifies you via email and in-app.
- Open the notification → Convert to job straight away.
Quick convert
- In the quotes list, use the ⋯ menu → Quick convert.
- Creates a draft job using default settings—you can edit later from the schedule.
What transfers automatically
- Customer and site details.
- Quoted services, descriptions, and pricing.
- Materials and tax settings.
- Custom fields and attachments.
- Internal and customer notes.
Everything stays linked—opening the job shows the original quote for reference.
What you add during conversion
- Schedule date and start time.
- Estimated duration (pulls from template defaults if set).
- Assigned technician/team.
- Job-specific notes or reminders for the field team.
Set defaults in Settings → Quotes → Conversion so duration and technician pre-fill automatically.
