Build reusable templates so every quote has the right structure, pricing, and terms. Drop in customer-specific details with variables and send quickly.
Why templates save time
- Produce consistent, branded quotes without rewriting descriptions.
- Reduce errors—pricing and markups are pre-approved.
- Speed up quoting for repeat services or maintenance plans.
- Train new staff easily by giving them ready-made templates.
Create a template
- Settings → Quotes → Templates (or Quotes → Templates tab).
- Click Add template and give it a descriptive name (“Boiler install”, “Kitchen refit”).
- Add line items, pricing, and descriptive notes. Include default tax and discounts if required.
- Insert variables (e.g. `{customer_name}`, `{property_address}`, `{boiler_type}`) so you can personalise quickly.
- Preview with sample data, tweak wording, then save.
Use variables for custom details
Variables are placeholders inside curly braces. When you apply a template, Toolfy prompts you to fill them in—no hunting through paragraphs to edit names or addresses.

Template ideas by trade
Plumbing
Boiler installation, cylinder replacements, bathroom refits. Include removal, labour, materials, warranty terms.
Electrical
Consumer unit upgrades, EV charger installs, lighting packages. Detail certification steps and testing.
HVAC
Servicing plans, AC installs, duct cleaning. Add seasonal maintenance checklists and filter schedules.
Landscaping/Construction
Garden makeovers, patio builds, extensions. Break down phases and include optional upgrades.
Keep templates up to date
- Review templates quarterly so pricing stays current.
- Clone templates for variations (e.g. “Boiler install – combi” vs “system”).
- Update terms whenever your cancellation or warranty policies change.
- Regularly review which templates lead to accepted quotes so you know which services win most work.
