Customise Invoice PDFs
Create branded, professional invoices by adding your logo, colours, legal text, and payment instructions—no design tools required.
Why customise your invoices
- Improve customer trust with a polished, consistent look.
- Reinforce your brand every time you bill.
- Include terms, warranty notes, or payment instructions to reduce disputes.
- Meet legal or industry requirements (VAT numbers, registrations, etc.).
Available customisation options
- Logo and brand colours
- Header/footer details
- Custom fields and lookup labels
- Payment instructions and banking info
- Terms and conditions or warranty text
Add your logo
- Settings → Branding.
- Upload company logo (PNG/JPG/SVG up to 2 MB).
- Use the preview to adjust scaling and placement.
- Save—new invoices pick up the logo immediately.
- Horizontal versions fit best within the header.
- Use transparent PNGs for a clean look on coloured backgrounds.
- Keep text large enough to read when printed; aim for 300 DPI.
- Test by downloading a PDF to ensure the result matches expectations.

Add payment info & terms
Payment instructions
Share bank details, preferred methods, or “Pay by” notes. Appears near the totals.
Terms & conditions
Add legal wording, warranty coverage, or cancellation policies. Automatically included at the bottom of every invoice PDF.
Footer
Include company registrations, VAT numbers, or social links.
Custom fields & layout tweaks
- Rename labels (e.g. “Purchase Order” instead of “Reference”).
- Add optional custom fields under customer information (Job No., Site address, etc.).
- Reorder sections (customer, job info, totals) when using Team/Business plans.
Test before you send
- Download a PDF after changes to confirm spacing and colours.
- Print a copy—what looks fine on screen may be too light on paper.
- Send yourself a test invoice email to check attachments and branding.
- Repeat after major brand updates to ensure consistency.
