Lost email? Repeat job? Send another copy or spin up a fresh invoice without losing the timeline or payment link.
Choose the right option
Resend
Customer misplaced the email or you need to nudge them again—no changes required.
Duplicate
You’re invoicing for similar work (same customer or not) and want to reuse line items/pricing.
Edit & resend
Make corrections (typo, price adjustment) before sending a new version.
PDF copy
Download a fresh PDF for customers who want to print or forward manually.
Resend an invoice
Fast resend
- Go to Invoices and locate the invoice.
- Open the overflow menu (⋯) and select Resend invoice.
- Confirm the customer email (edit if necessary).
- Optional: add a personal message (“As requested, here’s the invoice again”).
- Click Resend—Toolfy logs the action on the invoice timeline.
Full composer resend
- Open the invoice detail page.
- Review status, payment history, and notes so you know the full context.
- Click Send invoice to open the composer.
- Toolfy pre-fills the customer details, attaches the PDF, and adds the payment link.
- Adjust the subject/message if needed, then send.
Duplicate for repeat work
Repeat customer work
Monthly maintenance, ongoing services, or annual inspections with identical pricing.
Similar job, different customer
Same materials or services for another client—duplicate, switch customer, adjust taxes if required.
Split larger projects
Create multiple invoices for one job (e.g. parts vs. labour) without retyping everything.
- Find the original invoice and click Duplicate.
- Toolfy creates a new Draft invoice with the same customer, line items, and pricing, dated today.
- Update anything that changed (customer, description, prices).
- Save, then send as normal.
Editing rules
- Unpaid invoices can be edited freely—make changes, save, then resend.
- Paid invoices are locked. If something needs correcting, issue a credit note or create a new invoice.
- The timeline records every edit and resend, so you can always prove what was sent.
- Add a short personal note when resending to keep things friendly.
- If email isn’t getting a response, switch to SMS using the same portal link.
- Log phone calls or promises in invoice notes—your team will thank you.
