What you need before connecting
- Business bank account details (account/routing or sort code).
- Registered business name, trading name, and address.
- Company registration number or tax ID (sole traders can use NI/SSN).
- Owner/representative contact information for Stripe verification.
Connect Toolfy to Stripe
- Toolfy → Settings → Payments → `Connect with Stripe`.
- Sign in to Stripe or create a new account when prompted.
- Complete Stripe’s verification form (business info, ownership, bank account).
- After approval, Stripe returns you to Toolfy and status switches to Connected.
If you are new to Stripe
- Choose `Sign up` on Stripe’s screen.
- Verify your email and set a password.
- Fill out the business onboarding flow (Stripe saves progress if you pause).
If you already use Stripe
- Sign in with your Stripe credentials.
- Select the account you want Toolfy to use (if you manage multiple).
- Authorize Toolfy to create charges and read payments on your behalf.
Verification information
- Legal entity details and support phone number.
- Owner/director name, date of birth, and home address.
- Bank account for payouts. Stripe verifies via micro-deposit or instant verification (where available).
Test a payment
- Create a £1/$1 invoice and send it to yourself in test mode.
- Open the payment link and use Stripe test card 4242 4242 4242 4242 with any future date/CVC.
- Confirm Toolfy marks the invoice paid (in test mode).
- Switch back to Live mode in Stripe/Test toggle once satisfied.
Understand payouts
- Standard payouts arrive in 1–2 business days (longer for first payout).
- Stripe settles Monday–Friday; weekend payments land Monday/Tuesday.
- Instant payouts (where eligible) settle within 30 minutes for a 0.5% fee (min £0.50).
- View payout schedules anytime in the Stripe Dashboard → Payouts.

Troubleshooting
Connection failed
- Ensure Stripe onboarding is complete—check for verification emails from Stripe.
- Refresh Settings → Payments; if needed, disconnect and reconnect.
- Verify you authorised the correct Stripe account (important when managing multiple).
Payments not appearing
- Check Stripe Dashboard to confirm the payment succeeded.
- Ensure you are in Live mode—test payments do not appear in live dashboards.
- Toolfy configures webhooks automatically; contact support if Stripe shows events but Toolfy does not update.
Verification pending
- Complete any `Tasks` shown in Stripe (ID, proof of address, bank statements).
- Payments can process while pending, but payouts wait until documents are approved.
- Upload requested documents promptly to avoid payout delays.
