Capture photos on mobile
Technicians can snap and upload images directly from the job card—photos sync when online or queue when offline.
- Open the job on your mobile device.
- Scroll to the Photos section and tap “Add photo”.
- Choose “Take photo” to launch the camera or “Choose from library” to pick existing images.
- Capture or select the image, then add an optional caption.
- Tag the photo as Before, During, or After so it appears in the right order.
- Tap Upload. Toolfy syncs immediately if you’re online, or queues the photo for later.

What (and how) to photograph
Shots to capture
- Wide shots of the room, property area, or installed equipment.
- Close-ups of the specific fault or repair.
- Serial numbers, rating plates, or warranty stickers.
- Pre-existing damage that isn’t part of your scope.
- Access challenges such as blocked panels or locked gates.
- Safety hazards or compliance issues you discover.
- The completed work in clean, tidy condition.
Quality tips
- Use good lighting—turn on additional lights or use a work lamp if needed.
- Tap the phone screen to focus before you shoot.
- Wipe the camera lens to avoid smudges or haze.
- Take multiple angles of important items to provide context.
- Include surrounding area in at least one shot so the viewer understands the location.
- Hold the phone steady with two hands or brace against a surface.
Upload from the office
- Open the job in your desktop browser.
- Go to the Photos tab.
- Drag files onto the page or click Upload to browse.
- Select multiple images at once to import in bulk.
- Add captions, set Before/During/After tags, and reorder if needed.
- Save changes—everything syncs to the technician app and customer portal.

Cleanup
Delete blurred or duplicate images; download any you need for offline storage.
Viewing
Click any image for full-screen review during audits or customer calls.
- Up to 50 photos per job.
- Maximum 10 MB per photo (JPG, PNG, HEIC).
- Toolfy automatically compresses large files (~2 MB) to speed up syncing.
- Each account includes 10 GB of photo storage. Configure alerts when you approach the limit.
Where photos appear automatically
- Invoices include After photos to demonstrate completed work.
- Quotes can show Before photos to highlight why the work is needed.
- Job reports export the full gallery for record keeping.
- Customers see all images in their self-service portal.
- Invoice emails can embed the primary Before/After shots automatically.

Offline photo handling
- Take photos as normal—camera works offline.
- Toolfy queues each photo on the device (cloud icon shows pending uploads).
- Reconnect via Wi-Fi or mobile data.
- Toolfy uploads automatically and removes the pending badge.
- Once synced, the gallery appears everywhere.

Troubleshooting
Photos not uploading
- Check your internet connection or wait for better signal.
- Look for the upload queue indicator (cloud icon).
- Ensure each file is under 10 MB.
- Confirm the app has camera and photo library permissions.
- Try uploading over Wi-Fi if mobile data is slow.
Can’t take photos
- Grant camera access in the device settings.
- Free up storage if the device is full.
- Force-close and reopen the Toolfy app.
- Update to the latest version of the app.
Images look blurry
- Clean the lens and retake the shot.
- Tap to focus and wait for confirmation.
- Use additional light if the area is dark.
- Disable aggressive compression in Settings → Jobs → Photos.
Photos attached to the wrong job
- Double-check you opened the correct job before uploading.
- Delete the mistaken photo and re-upload to the right job.
- Use captions to clarify context for the office team.
- Contact support if galleries appear mixed after syncing.
