Travel optimisation estimates the drive time between consecutive jobs and warns you when the team will run late. Toolfy factors in your business hours, travel buffer, and the order of jobs assigned to each technician, so you can reshape the day before vans leave the yard.
Before you start
- Business plan (travel optimisation isn’t available on Solo or Team).
- Jobs assigned to technicians with valid service addresses—Toolfy skips jobs with missing or incomplete addresses.
- At least two jobs on the schedule for the day you are reviewing.
- Location services enabled in Settings → Operations so Toolfy can calculate travel buffers.
Run travel optimisation
Toolfy recalculates automatically as you edit the schedule. Keep an eye on the Travel panel to understand how changes impact the route.
Open Schedule
Go to Schedule and pick the day or week you want to analyse.
Assign jobs
Ensure each visit has an assignee and address. Travel calculations only run on assigned work.
Trigger optimisation
Toolfy recalculates automatically whenever you drag a job, adjust timing, or change an address. Look for the Travel panel in the right sidebar.
Read the Travel panel
The panel summarises the most important insights so dispatch can react quickly if a route looks tight.
Per-technician totals
See the total drive minutes scheduled for each person. Hover to highlight their jobs on the calendar.
Segment warnings
If the buffer between two jobs is smaller than the recommended travel time, Toolfy flags the job with a warning icon.
Multi-stop directions
Use Generate route to open Google Maps with the jobs in the right order—handy before the team leaves the depot.
Troubleshooting
If optimisation stops running, work through these quick checks before contacting support.
Travel optimisation unavailable
Check your subscription under Settings → Payments. The feature is available on the Business plan. You can still drag jobs manually without optimisation.
We could not compute travel time
Confirm each job has a precise address (including postcode). Toolfy skips PO boxes and partial addresses.
Jobs show as duplicates
If the same address appears twice with identical start times, Toolfy treats them as back-to-back segments. Stagger the times by a few minutes or merge the jobs if appropriate.
Best practices
- Update business hours and lateness thresholds in Settings → Operations so buffers reflect your promise to customers.
- Assign jobs before optimising—Toolfy cannot estimate travel for unassigned work.
- Leave at least 15 minutes between jobs in dense urban areas where traffic can spike.
- Combine travel optimisation with automated reminders so customers know when to expect the team.
